What is ISO 41001?

ISO 41001 sets requirements for a facility management system. It covers how facility services, such as maintenance, cleaning, security, space management, energy and workplace services, are aligned with the needs of the core business and the people who use the buildings.

ISO 41001:2018 follows the harmonised structure. Its distinctive requirements concern understanding the demand organisation, integrating services delivered by many internal and external providers, facility management agreements and the data used to run and plan facilities.

Corporate occupiers, public authorities and property owners use ISO 41001 when selecting integrated facility management providers. In-house FM teams use it to show that their service to the business is planned, measured and improved.

Who it is for

  • Integrated facility management providers
  • In-house corporate real estate and FM teams
  • Property and estate managers
  • Hospitals, campuses and airports with large estates
  • Public sector estates departments
  • Specialist hard and soft service contractors

What sets audit time and cost

Most organisations reach a certification decision ten to fourteen weeks after application, with Stage 2 visiting a sample of the facilities in scope.

  • Number of personnel in scope
  • Number of facilities or client sites
  • Range of services delivered
  • Proportion of services subcontracted
  • Integration with ISO 9001, ISO 14001 or ISO 45001

Why it matters

What ISO 41001 gives you

  1. 01

    Services aligned with the business

Facility services are planned from the demand organisation's needs rather than from a fixed list of tasks.

  2. 02

    Integrated supplier management

Many service providers are managed under one system with clear agreements and performance measures.

  3. 03

    Better facility data

Defined data requirements improve decisions on maintenance, space and investment.

  4. 04

    Recognised in FM contracting

Clients selecting FM providers can rely on an independently audited system.

The audit

What our auditors examine

  1. 01

    Demand organisation needs

How the requirements of the organisation and of building users are identified, agreed and reviewed.

  2. 02

    Integration of services

Coordination of hard and soft services and of in-house and outsourced providers.

  3. 03

    FM agreements and performance

Service agreements, performance indicators and reviews with clients and suppliers.

  4. 04

    Facility data and information

Asset registers, space data and maintenance records, and how they are kept accurate.

  5. 05

Health, safety and environment in operations

How statutory compliance, safe working and environmental requirements are managed across the facilities.

How certification works

Every accredited certificate follows the same three-year cycle, with each step recorded and the result published in our register.

  1. 01

    Application and quote

Tell us your scope, sites and headcount. We calculate audit time under the accreditation rules and send a fixed quote and audit plan.

  2. 02

    Stage 1 audit

We review your documented management system, scope and readiness, and agree the Stage 2 plan. Any gaps are reported so you can close them first.

  3. 03

    Stage 2 audit

Auditors check that the system works in practice: interviews, records and observation across the scope. Nonconformities are raised in writing.

  4. 04

    Certification decision

Once corrective actions are accepted, a reviewer who did not take part in the audit makes the decision. Your certificate is issued and listed in the public register.

  5. 05

    Surveillance audits

Shorter audits in the first and second years after certification confirm the system is maintained and improving. The register shows your current status throughout.

  6. 06

    Recertification

Before the three-year certificate expires, a recertification audit reviews the whole system and renews the certificate for another cycle.

We audit; we do not consult.

To keep certification independent, we never design, build or fix the systems we audit, and decisions are made by people who did not take part in the audit. Read our impartiality policy.
